Extracting and submitting data - PACOP
This page contains information related to extracting data within palCentre and submitting to PACOP. To navigate quickly to a section within this page, please use the menu below:
Aged care homes participating in PACOP submit data at the following times:
January - February (for the previous July – December reporting period)
July - August (for the previous January – June reporting period)
Data extracts are loaded into the database for the purpose of data validation and quality checking. Data quality reports are produced and sent to services promptly so that identified data errors can be reviewed, corrected and resubmitted before being included in the national database.
Data can be submitted outside these reporting periods at the discretion of PACOP. If you would like to submit data outside the above reporting period for data validation and quality checking, please contact PACOP at pacop-data@uow.edu.au
Extracting data from palCentre
To extract your data, click on the 'Extract' option in the navigation menu bar.
The extraction form will appear. The default extraction folder is in the 'Documents' folder on your computer. If you wish to store the extracts somewhere else, click on 'Browse' select where you'd like to save the extracts.
Then click on generate extracts at the bottom of the form.
The data has now been extracted. A pop-up window as below will appear with options to continue data entry, open the extract folder or open the submission platform.
Submitting data to PACOP
After successfully generating extracts, click on the 'Open submission platform' button in the pop-up window.
This will launch the Secured Online Submission portal (SOS). Log into SOS by entering your email address and clicking 'Sign In'.
Please leave 'I am an admin' unticked.
Click on the facility you wish to submit data for (most users will only have one option).
After selecting the facility you wish to submit data for you will be presented with a popover shown below to the left. Once you click on "Choose file" you'll have a file browser window open up shown below on the right. To easily navigate to the folder where you extracted the palCentre data follow the steps below.
Return to palCentre and you should see the following. Click on ‘open extract folder’ to navigate to where the files have been extracted to.
A windows explorer screen should appear with where the files have been saved:
To get the files into SOS, return to the SOS screen. You can either drag the file into the field name Or you can click on ‘Choose file’ and navigate to the appropriate place. The resident file must go under ‘Resident’, the Status file must go under ‘Status’ and the Assessment file must go under ‘Assessment’.
Once all 3 files have been added to SOS , click on ‘Submit’.
If your files have uploaded successfully, you will receive an email from pacop-data@uow.edu.au informing you that your upload was successful. If you don’t believe your data upload successfully, please contact pacop-data@uow.edu.au for assistance.
Custom extract
palCentre also provides functionality for you to create custom extracts for use internally within your aged care home.
Custom extracts should never be submitted to PACOP via the SOS portal. PACOP cannot process these extracts while in custom format. Please ONLY submit standard extracts to PACOP.
Only administrators in palCentre can create custom extracts.
To create a custom extract, click on the custom extract toggle.
Fill out the details you would like to customise and click on ‘Generate extracts’.
Once complete, you should see this success window
